Facility Use Terms and Conditions

A certificate of insurance must be provided by any external group wishing to use the College facilities, with coverage of not less than $1 million per occurrence. This policy must cover personal and bodily injury, including death, property damage, and include an endorsement for contractual liability. Umbrella coverage may also apply.

This certificate is required for the issuance of a revocable facility use permit and must be received at least two weeks prior to the event at events@corning-cc.edu.

Additionally, the applicant is responsible for defending, indemnifying, and holding SUNY CCC, its employees, trustees, agents, and students harmless from any and all claims, demands, causes of action, losses, costs, damages, and expenses, including attorney fees, expert and consultant fees, to the extent caused by the applicant’s willful misconduct, negligent acts, or omissions.

Use Guidelines and Special Circumstances

  1. Deposits and Payments:

    • For facility use quoted at $2,000 or more, the applicant must pay a deposit equal to 50 percent of the estimated event cost no less than two weeks prior to the event. The remainder of the total bill is due within 30 days of the billing date. Payments should be made payable to “SUNY Corning Community College.”
    • Any damage to the facilities will incur separate, additional costs to cover the expense of repairs.
  2. Facility Usage:

    • Only those facilities specifically approved on the application are to be used.
    • No equipment, except personal electronic equipment, is to be brought into the buildings or onto College grounds and connected to the electric service without CCC’s permission.
    • No scenery, decorations, combustible materials, animals (unless authorized in advance), or any other unusual materials may be brought into a College building or onto College grounds without prior approval from the Environmental Health and Safety Office.
    • Items with an open flame, such as candles and food warmers, are strictly prohibited.
    • Balloons of any kind are prohibited per SUNY policy.
    • Food and beverages are not allowed in the auditorium.
    • Smoking is allowed only in designated areas outside College buildings.
  3. Catering and Alcohol:

    • Applicants must make catering and payment arrangements directly with the College’s contracted food vendor.
    • Alcoholic beverages are prohibited on College property unless the CCC President’s Office grants written permission.
  4. Parking and Signage:

    • Parking is first-come, first-served and not guaranteed for any external event.
    • Flyers and unapproved signage placed throughout the campus and/or on automobiles are prohibited.
    • CCC does not provide copy printing services or make signs for external events.
    • Certain materials such as coat racks and sandwich board signs for directional and welcome signs may be provided by the College when available. The applicant is responsible for returning these items and will be charged for loss or damage.
    • CCC does not provide customized directional or promotional signs or posters.
  5. Advertisements and Cancellations:

    • CCC reserves the right to review all advertisements of outside groups using the facility prior to publication. CCC shall not be indicated as a co-sponsor of any event without prior permission from CCC.
    • If an event is canceled by the organizer or due to building closure to protect health and safety, the applicant is only responsible for expenses incurred. Every effort will be made to reschedule the event. The College is not liable for losses due to the cancellation of an external event as a result of building closure to protect health and safety.
  6. Sales of Goods and Services:

    • External users must notify CCC in advance if they plan to sell goods and services during an event and must post a notice stating which individual or agency will benefit from the proceeds.
